For US Federal government employees, we understand that the approval process is more complicated and may be delayed this year. We are happy to assist you in any way we can. 

If you intend to attend the conference and would like to secure a spot without using personal funds at this time, we recommend submitting an application. When submitting an application, please make sure to provide all requested information (ie, recent publication on which you are listed as a masthead author or a detailed description of your role). Once approved, you may book your hotel accommodation but you should delay completing your conference registration and payment until you receive approval from your agency, as registration fees are non-refundable after January 14, 2026. This approach allows you to secure a hotel room at the government per diem rate before availability sells out.

Most hotels do not charge a cancellation fee as long as the reservation is canceled within 24 to 72 hours prior to arrival. You may receive automated reminders to complete your conference registration after booking your hotel; these reminders can be safely disregarded until your approval is finalized.

If you register for the conference, pay the registration fee, and book your hotel but do not receive travel authorization but approved to attend virtually instead, please cancel your hotel reservation and notify us immediately so we can convert your registration to virtual attendance. There is no additional fee to convert to virtual attendance.
