Invited speakers have been asked to present a named lecture, a plenary lecture, or a lecture for a workshop or symposium. This page provides information for invited speakers, including abstract content, presentation content, and reimbursement for travel expenses.
Invited speaker abstracts should describe the talk with a state-of-the-art overview of the field or topic and not solely focused on the speaker’s own work. Invited speakers must submit their abstract and other information (financial disclosures, headshot, and permission to be recorded) through the CROI Abstract Submission Portal.
Submission of other abstracts: Invited speakers may also submit general or late-breaking abstracts for presentation at CROI. The submission timeline can be found on the Important Dates page and submission instructions on the Abstract Submission page.
Allotted times and recommended number of slides for different invited speaker sessions:
- Plenary Presentations: 25 minutes each (25–30 slides)
- Symposia Presentations: 22 to 23 minutes each (20–25 slides) and 5 minutes for questions
- Workshop Presentations: 20 to 23 minutes* (20–23 slides) and 5 minutes for questions
*Presentation times for workshops may vary depending on the number of speakers
Presentations from randomized trials and cohorts should follow the International Committee of Medical Journal Editors (ICMJE) guidelines, including reporting of study designs, (eg, prospective, observational, randomized, double-blind, STROBE, CONSORT, or others), statistical methods, and outcomes by demographic variables. Appropriate information and correct terminology should be used with regard to sex and gender. For human clinical or epidemiological studies, sex-stratified results should be provided or who was included if it includes only a single population. Appropriate terminology such as cisgender (people whose gender match the sex assigned at birth) or transgender (people whose gender does not match the sex assigned at birth) should be used. Both sex and gender data should be provided in the presentation. Presentations of preclinical data including use of cell lines and animal studies should include the sex of the animals or the sex of the source of the cell lines. If data are not available on sex and gender, this should be identified as a limitation in your presentation.
Out of respect for their contributions to our scientific advances, avoid calling study volunteers “subjects.” The preferred terms are study “participants” or “volunteers.”
Please also note whether the study is ongoing or completed and whether the results are preliminary or final.
A title slide with the presenter’s financial disclosures (based on the information submitted with the abstract) will be provided when the presenter uploads their final slides in the speaker ready room at CROI. Disclosure information includes all financial relationships with commercial entities (eg, pharmaceutical and diagnostic companies) as submitted by the presenter. If there are no financial relationships to report, the disclosure will read “Nothing to Disclose.” Below is an example of a title slide that will be provided at CROI.
Our experience indicates that speakers should allow 1 minute per slide. The suggested number of slides is indicated in the Presentation Length and Format section above. You may choose to include more than the suggested number, but please be sure to complete your presentation within the allocated time.
Please note that corporate logos, QR codes, and bar codes are not permitted on slides for oral presentations at CROI.
CROI will support MS PowerPoint or Apple Keynote only. Please ensure that all presentations are in one of these supported formats. High definition (HD) projectors will be used for all CROI sessions. Please apply widescreen formatting when preparing your slides (aspect ratio 16:9; resolution 1920 x 1080).
Speakers must bring their slides on a portable drive to the Speaker Ready Room so slides can be uploaded to the presentation computer. All presenters should bring their slides to the Speaker Ready Room at least 24 hours in advance of their presentation.
Invited speakers and conveners receive the following support for their participation at CROI.
Waived registration fee: Registration fees are waived for lecturers in named presentations (Bernard Fields and N’Galy-Mann lecturers), Martin Delaney panelists, plenary speakers, symposium conveners, workshop conveners, symposium speakers, workshop presenters, and themed discussion leaders.
Travel expenses: Reimbursement for travel expenses is provided to named-presentation lecturers and panelists, plenary speakers, symposium speakers, workshop presenters, and themed discussion leaders. The maximum reimbursement is $1,800 for travel from within the US or from Canada and $2,750 for international travel. The following expenses may be reimbursed:
- Airfare (including fee for 1 checked bag), train fare, or auto miles
- Hotel accommodations
Reimbursement does not cover visa fees, ground transportation, parking, meals, incidental charges, printing or shipping of materials, office supplies, or internet access.

The goods or services listed above are provided in kind for invited speaker participation in CROI. In compliance with federal regulations, no honorarium will be provided to US federal government employees, and no federal funds will be used for the payment of travel expenses. Travel expenses are derived from registration fees from conference attendees.
