Invited presenters give a named lecture, plenary, workshop, or symposium presentation, or participate in an interactive session. Information on this page includes a description of invited sessions, materials requested from invited presenters, and important deadlines.

INVITED SESSION OVERVIEW, REQUESTED MATERIALS, AND SUBMISSION DEADLINES

Interactive Session

Format: These 1-hour sessions are part of the live content for CROI and include various formats: 

  • Panel discussion – moderator presents issues for discussion by the panel; the moderator may or may not use slides.
  • Debate – The moderator introduces the topic and debaters present their positions slides during a discussion facilitated by the moderator.
  • Rapid Fire – Moderator gives a brief overview of the topic, and each expert gives a 5-minute summary of their focus.  Moderator then artfully facilitates the 30-minute discussion. Rapid Fire presentations may include up to 5 content slides plus 1 title slide (see the CROI title slide template below). Acknowledgments should be included on 1 of the content slides
  • Presentations with Discussion – Presenters give a short talk (may include slides) followed by a discussion facilitated by the moderator. Those with talks should avoid duplication and ensure that talks complement each other.

Audience Interaction: Interactive sessions include live question-and-answer periods with the audience and may include interactive polling. 

Requested Materials 

Presenters and moderators submit a headshot and a financial disclosure form through the CROI Abstract and Presentation Management System by January 5, 2022. Moderators also submit a brief session summary, session objectives, and final session title by January 5, 2022. 

  • Draft Slides: A PDF of draft slides should be shared with the other presenters and moderators in the session by email by February 15, 2021 

Plenary
Format: These 1-hour sessions include two 25-minute talks and are part of the live content for CROI. Plenary presenters may use a prerecorded video as their presentation or present live during the session; however, we request a prerecorded version of the presentation for backup in the event of technical issues. 

Presentation Length: 25 minutes (25 to 30 content slides suggested) 

Audience Interaction: Plenary sessions do not include live questionandanswer period, but attendees may interact with presenters through a chat function on the conference platform. 

Requested Materials  

Plenary presenters submit a presentation summary (described below), financial disclosure form, updated talk title, short biosketch, and headshot through the CROI Abstract and Presentation Management System by February 4, 2021. Other materials include:  

  • Draft Slides (optional): PDF of draft slides may be shared by email with the session moderator by February 15, 2021 
  • Pre-Recorded Presentation: A prerecorded MP4 video as a backup of the presentation (see instructions below). Presentation video upload begins February 5, 2021 with a deadline of February 22, 2021, at 11:59 PM PT  
Symposium
Format: These sessions are part of the on demand content for CROI. Each symposium has 4 prerecorded talks; the moderators introduce presenters and summarize the session. 

Presentation Length: 25 minutes (25 to 30 content slides suggested) 

Audience Interaction: Symposia do not include a live question-and-answer period, but attendees may interact with speakers through a chat function on the conference platform. 

Requested Materials 

Symposia presenters are asked to submit a final presentation title, presentation summary (described below), financial disclosure form, short biosketch, and headshot through the CROI Abstract and Presentation Management System by February 4, 2021. Other materials include: 

  • Draft Slides (optional): PDF of draft slides may be shared by email with the other session participants by February 15, 2021 
  • Pre-Recorded Presentation: A prerecorded MP4 video of the presentation (see instructions below). Presentation video upload begins February 5, 2021 with a deadline of February 22, 2021, at 11:59 PM PT 
Workshop
Format: Concurrent workshops (2-hour sessions) and Program Committee Workshop for New Investigators and Trainees (4-hour session) are part of the live content for CROI.  Except for interactive case presenters who present liveworkshop presenters may use a prerecorded video for their presentation or present live during the session.  

Presentation Length: 25 minutes  

Audience Interaction: Workshops include live questionandanswer periods with the audience and may include interactive polling. 

Requested Materials 

Workshop presenters are asked to submit a presentation summary (described below), financial disclosure form, final talk title, short biosketch, and headshot through the CROI Abstract and Presentation Management System by February 4, 2021. Other materials include: 

  • Draft Slides (optional): PDF of draft slides may be shared by email with the other session participants by February 15, 2021

Presentation Summary  

For invited presenters who are asked to submit a presentation summary, the presentation summary should describe the talk with a state-of-the-art overview of the field or topic and generally not solely focus on the presenter’s own work. Invited presenters are asked to submit the presentation summary and other information (financial disclosures, headshot, final title, and permission to be recorded) through the CROI Abstract Submission and Presentation Management System.

Recording an Invited Presentation

For invited presenters who are asked to record a presentation, the video should be an MP4 video file format.  Tips for Creating a Presentation Video provide suggestions for creating a presentation video. Do ensure that the presentation video is no longer than the time you are allocated, as this is the maximum length that the vCROI virtual platform will play.

The file size of your MP4 video file can be no larger than 2GB. If the file size is larger than 2GB, please email Orchestrate@freemanco.com for alternate upload instructions. The recommended resolution for your MP4 video file is 1920 x 1080. 

Recording Background: You may use the following CROI virtual backgrounds when recording your presentation.

CROI Slide Template 

Please use the CROI Invited Presenter Slide Template for your title slide, and include the requested elements (eg, presentation title, name, institution, and financial disclosure). A template for content slides is included, but presenters may use their own slide template or format for their content slides.  

Slide Format: When preparing presentation slides, please apply widescreen formatting (aspect ratio 16:9; resolution 1920 x 1080) for best results on a computer monitor.

Submit Your Presentation 

For invited presenters who are asked to submit their presentation, upload your presentation MP4 video file using the Orchestrate platform.L ogin credentials, including username and temporary password are sent to presenters by email (scheduled for Monday, February 8, 2021) from CROIabstracts@iasusa.org. Your username is the email address that is on file in the CROI Abstract Submission system and registration. 

Make sure your presentation video is saved as an MP4 file and that you review the MP4 file prior to submitting. 

Include your last name on the file name. File names should be under 30 characters in length and should not include special characters (eg, $ & + , / : ; = ? @ ” < > # % { } | \ ^ ~ [ ] `). Presentations recorded through Zoom are generally assigned a generic file name; please make sure to rename your file. 

If you are giving more than 1 presentation, make sure you are uploading your prerecorded presentation under the correct session on the My Sessions page on the Orchestrate platform. 

After submitting a file, you will receive a pop-up message on the bottom of your screen indicating that the upload was successful and your file will appear listed under the appropriate session (Update as of February 16: Confirmation emails are NOT sent after your upload). If you need technical assistance or have additional questions about uploading your presentation, please contact Orchestrate@freemanco.com and reference “virtual CROI 2021” and the presenter’s full name. 

Updating Your MP4 Video File If you need to replace a presentation video that you submitted before February 15, 2021, submit the revised video through the website using a new file name. Make sure to delete the earlier submission using the trashcan icon to the right of the file name. The deadline to upload revised presentations is February 22, 2021. 

Headshots To provide a headshot, click on the camera icon next to your name and upload a high-resolution (600 x 600 pixels maximum) jpg, jpeg, or png image file. Name the image file with your first and last name (eg, JohnDoe.png). 

Guidelines for Presentation

Appropriate information and correct terminology should be used with regard to sex and gender.  For human clinical or epidemiological studies, the presentation should provide sex-stratified results or identify who was included if it includes only a single population. Appropriate terminology such as “cisgender” (people whose gender match the sex assigned at birth) or “transgender” (people whose gender does not match the sex assigned at birth) should be used. Both sex and gender data should be provided in the presentation. Presentations of preclinical data including use of cell lines and animal studies should include the sex of the animals or the sex of the source of the cell lines. If data are not available on sex and gender, this should be identified as a limitation in your presentation. 

For presentations that include serologic tests for SARS-CoV-2, the type of serologic test should be described. 

Out of respect for their contributions to our scientific advances, avoid calling study volunteers “subjects.” The preferred terms are study “participants” or “volunteers.” 

Please also note whether the study is ongoing or completed and whether the results are preliminary or final.
