CONFERENCE ON RETROVIRUSES
AND OPPORTUNISTIC INFECTIONS

March 8–11, 2020

Virtual CROI 2020

Is CROI canceled?

The conference has not been canceled, but will be presented virtually. No sessions will take place in the Hynes Convention Center. We recommend that you not initiate your travel to Boston. If you are already on your way to Boston, you should plan to return to your home.

What will virtual CROI look like?

All registered attendees, including those that have modified their registration prior to the announcement on March 6, 2020, will have access to view sessions live via webcasting. Presentations will be prerecorded and sessions will be webcasted live. In addition, access to all CROI materials (including abstracts, *electronic posters, CROI Mobile App, and abstract eBook) will be available. An email with log-in information for access to these resources has been sent out Saturday, March 7, 2020, at 8:00 PM ET.

*Electronic posters are currently available to CROI attendees in the CROI Mobile App and will be available on the CROI website shortly via the searchable abstract database.

All conference materials will be available to the public after the conference. On demand webcasts will not be available until a week after the conference has ended.

To accommodate for the difference in time zones among our registrants, rebroadcasting of each conference day will be available from 8:00 PM to 8:00 AM Eastern Daylight Time the next day.

Who do I contact with questions?

CROI is working quickly to get the word out regarding the conference moving forward to being virtual. At this time, CROI is developing information regarding points of contact for any queries. Once information is available, it will be released on the CROI website. We thank you for your patience in this rapidly progressing situation.

I registered OR have modified my registration for the meeting. What do I do?

You will not need to contact CROI or Spargo regarding your registration status as it will automatically be upgraded to a virtual attendee, which will enable you access to the conference materials and live webcasts. For those who have modified their registration prior to the announcement on March 6, 2020, they will still receive access to conference resources and webcasts. Access to conference resources and webcasts has been sent out on Saturday, March 7, 2020, at 8:00 PM ET. You should contact your hotel directly to cancel your hotel room as soon as possible. CROI hotels will not charge penalties if given at least  24, 48, or 72 hours advance notice, depending on the hotel.

Will my registration fee be refunded?

At this point we are not providing refunds, with the exception of residents of China and other countries under a specific travel ban due to COVID-19. We will not be able to estimate the costs and penalties associated with the transition of the meeting from an in person to a virtual format for some weeks. Unfortunately, although the CROI Foundation carries meeting liability insurance that covers most natural disasters and even a terrorist attack, we learned, as did many other large conference organizers, that many similar policies exclude cancellations due to “organic pathogens” like the SARS-CoV-2 coronavirus. We will do our best to get this right, but again, we ask for your patience as we work through the financial implications of the COVID-19 epidemic on the current and future CROI conferences.

How do I cancel my hotel reservation?

You must contact your hotel directly to cancel your hotel room as soon as possible. CROI hotels will not charge penalties if given at least  24, 48, or 72 hours advance notice, depending on the hotel. Cancelations are dependent on the hotels and their policy. CROI is currently working with the hotels in order to resolve the cancelation fees for those affected, however, reimbursement is not guaranteed.

  • Boston Marriott Hotel Copley Plaza has waived their cancelation fee as of March 6, 2020.

I am the presenting author. What do I do now?

As CROI is now virtual, oral presenters (including plenary, symposia, oral session, and themed discussion speakers) will need to record their oral abstract presentation (click here for instructions) and poster presenters will need to upload their poster (see Poster Presentation Guidelines page for instructions) to be available in real-time during the conference.

I am a scholarship recipient. What do I do now?

As a scholarship recipient, you must contact your hotel directly to cancel your hotel room as soon as possible.

You must then cancel your flight by emailing ias.usa@altour.com (Monday to Friday, 8:00 AM–5:00 PM CT). Any emails received after 5:00 PM CT will be addressed the next business day. Emails are not monitored on the weekends. Should someone need to speak with an Altour agent after business hours, they can reach the 24/7 team at 1-952-447-1333 option 1. For those enroute or who have already arrived in Boston, please contact Altour in order to coordinate a change in flight.

At this point, we are not providing refunds with regard to any hotel or travel cancelation fees. CROI is working diligently to assess the financial implication, and further information regarding possible reimbursements will be announced if and when it becomes available.
